Re: Application for the customer service representative position
Dear [Hiring manager's name],
Last week a customer called me after her internet had been down for two days and she had already spoken to three people. Twenty minutes later her service was back and she knew exactly what had gone wrong. Calls like that are why I like this work, and why I am applying for the customer service representative position at [Company].
For four years I have supported customers by phone, chat and email, first for an online retailer and now for a home internet provider. I handle about 50 contacts a day, hold a CSAT score of 92 percent and train new hires on our billing system.
What appeals to me about your team is the focus on solving problems on the first contact instead of rushing calls. I also wrote 15 knowledge base articles for my current team, and I would enjoy helping improve your self-service content.
I speak English and Spanish fluently and can work any shift, including evenings and weekends.
I would be glad to talk about how I handle difficult calls and what I could bring to your team.
Sincerely,
[Your name]
A short example of a problem you solved shows your approach better than any list of qualities.
CSAT, first contact resolution or volume. It makes your letter concrete and backs up your resume.
Supporting software is different from supporting retail orders. Show which experience fits their customers.
Shifts, weekends and remote or on-site. Support teams plan around coverage, so this matters early.
The channels you cover, the systems you know, de-escalation, and any languages. Back them up with one or two results, like CSAT or first contact resolution.
Use jobs where you helped people: retail, restaurants, volunteering. Describe how many customers you helped and one problem you solved.
Yes, if it is good and you can explain it. Mention the period and, if possible, the team target, so the number has context.
Often not required, but a short letter helps you stand out in a large applicant pool. Keep it to three short paragraphs.
